Terms of Service

1. Service and eligibility

Expense Proof helps users upload receipts, extract and organize expense information, maintain Expense Units, and generate reports. You must have legal capacity to agree to these Terms. The service is intended for adults; a person who is not legally able to contract may use it only with a parent or legal guardian’s authorization and supervision.

2. Account security

Provide accurate account information, protect your password and device, and notify us promptly of suspected unauthorized access. You are responsible for activity performed through your account except where applicable law provides otherwise. Shared Expense Unit owners control membership and should transfer ownership before deleting an account.

3. Receipt results and professional decisions

OCR, currency, tax, merchant, date, and amount extraction may be incomplete or incorrect. You must review and correct results before using them for reimbursement, bookkeeping, taxes, audits, or other decisions. Expense Proof is an organizational tool and does not provide accounting, tax, legal, or financial advice. Keep original documents whenever they may be legally required.

4. Acceptable use

Do not use Expense Proof to violate law or another person’s rights, upload malicious or unlawfully obtained content, impersonate anyone, probe or disrupt the service, bypass limits, automate abusive traffic, manipulate purchases or credits, or resell access without permission. We may restrict abusive activity where reasonably necessary to protect users and the service.

5. Your content and permissions

You retain ownership of receipts, files, and other content you submit. You grant us a limited permission to host, copy, process, transmit, and display that content only as needed to operate, secure, support, and improve the requested service. You confirm that you have the right to submit and share it. Content shared through an Expense Unit is visible to its authorized members.

6. Credits

• Under the current service rules, one credit is charged when an AI-scanned receipt is confirmed and saved. Discarded scans and receipts entered manually do not use credits.
• Credit-use rules may be adjusted for future processing, with notice where required by law.
• Welcome credits are promotional, have no cash value, are non-transferable, and may be limited or discontinued for new accounts.
• Purchased credits do not expire while the account remains active, subject to these Terms and applicable law.
• Credits are a service-use unit, not money, stored value, cryptocurrency, or a transferable asset.

7. Purchase and refund policy

Credit packs are one-time in-app products sold and billed by Google Play. Google shows the local price and applicable taxes before confirmation, provides the payment receipt, and controls eligible payment methods. Velzev does not receive or store your complete payment-card or bank details.

Refund eligibility and timing are governed by Google Play’s policies and applicable consumer law. You may request an eligible refund directly from Google Play; for purchase support, including requests made after Google’s self-service period, use our purchase and refund help. A request does not guarantee approval.

When Google or another authorized payment channel refunds or revokes a credit pack, all credits granted by that refunded portion are reversed. If some were already used, your balance may become negative. Receipt processing is then paused until purchases or other valid adjustments restore at least one available credit. This adjustment prevents a refunded purchase from funding continued processing; it is not an accusation of fraud. Contact support if the order or adjustment appears incorrect.

Duplicate reversals are prevented by transaction and event identifiers. Partial quantity refunds reverse only the corresponding portion when the store supplies that information.

8. Third-party services

Expense Proof relies on providers such as Google Play, Google sign-in, RevenueCat, OpenAI, hosting, email, and notification services. Their own terms may apply. We are not responsible for a third-party service’s independent availability, payment decision, or policy, but we remain responsible for our obligations under applicable law.

9. Availability and changes

We work to provide a reliable service but do not promise uninterrupted or error-free operation. Features may change, be suspended, or be discontinued for security, legal, technical, or business reasons. We will provide notice where required. Maintain exports or originals appropriate to your needs.

10. Suspension and termination

You may stop using Expense Proof or delete your account at any time. We may suspend or terminate access for a material or repeated breach, fraud, security risk, unlawful use, or where required by law, using a proportionate process where reasonably possible. Account deletion is described in our Privacy Policy and on the account-deletion page.

11. Intellectual property

Expense Proof software, branding, design, and service content—excluding your content—belong to Velzev or its licensors. We grant you a personal, limited, revocable, non-exclusive, non-transferable right to use the service in accordance with these Terms.

12. Disclaimers and liability

To the maximum extent permitted by law, Expense Proof is provided “as is” and “as available,” without warranties not expressly required by law. Velzev is not liable for indirect, incidental, special, consequential, or punitive damages, lost profits, or losses caused by relying on unreviewed extracted data. Nothing in these Terms excludes liability or statutory rights that cannot lawfully be excluded, including applicable consumer-protection rights.

13. Governing law and disputes

These Terms are governed by the laws of Quebec and the federal laws of Canada applicable there, without limiting mandatory rights available in your place of residence. Before starting formal proceedings, please contact us so we can try to resolve the issue.

14. Changes and contact

We may update these Terms. We will post the revised version, change the effective date, and provide additional notice where required. Continued use after the effective date constitutes acceptance where permitted by law.
